ANNUAL MEETING

2012

 

Our Annual Meeting was held on June 14th at the Clubhouse. We had one of the best turn outs in recent years and the meeting lasted almost two hours over lengthy discussion of the major topic, the clubhouse septic system..

The meeting started with a recap of the past year. Highlights were:

Š      Beach Area Final Completion & Approval by Sandwich Conservation

Š      Increase usage of the beach area last summer

Š      Increase usage of the Clubhouse last year

Š      Trust renewed for another 20 yr period

Š      New picnic tables for the clubhouse area

Š      New signage being installed

 

Association housekeeping included Bob Ryan being elected to another three year term as Trustee and Marc DePontbriand taking over clubhouse rentals effective July 1, 2012. Later in the meeting, Bob & his wife Jeanie received applause and thank yous for their contributions to the association.

 

The discussion of the 2012 budget and collection of past due fees from homeowners was the next item on the agenda. The Trustees brought up for discussion of the foreclosures in the neighborhood, the church no longer needed the clubhouse and continued pursuit to collect overdue fees from homeowners.

 

The budget led into the biggest discussion of the evening: the clubhouse septic system. It was discussed about the pump and pit area needing repair and after a lengthy discussion it was decided that the Trustees and some homeowners would look into the matter further and we should look to have a special meeting in the Fall to go over the information received and discuss the action we need to take as an association to protect our interests.

 

During the discussion of the clubhouse septic, the idea of increasing the revenue for the association to cover costs and also to keep us on a positive note was brought up. The ideas of a onetime assessment, increasing the annual fee for a couple of yrs and increasing the amount of the clubhouse rental fee were all given careful deliberation. At the end of the discussion it was voted to increase the amount of the clubhouse rental to $85 (up from $65) and to grandfather anyone that currently had a rental scheduled. It should be noted here that the amount was considered fair considering the improvements to the clubhouse and the cost of rental of similar type facilities in the area and was voted on and passed by a majority of the homeowners attending the meeting. The revised rental agreements reflecting the new fee have been created and are now available on the Lakefield Farms website.

 

Other topics discussed over concerns of the budget were encouraging community volunteerism to work on the entrances and misc. projects in the community to negate added expenses to the budget. The age and condition of the heating system for the clubhouse was raised as a concern. The systems age and lack of replacement parts was chief among the discussion. The trustees are working to replace the system at the most cost effective way.

 

This season the beach area will be given a bike rack, 3 new picnic tables and new signs. The gate & life guards are now on duty and operation hours would be kept the same hours as last year. If you need to pick up your beach pass & gate combination you can see the gate guard to pick them up. Also, the gate guards can take payments for association fees if you need to pay them but cannot do research on any past due fees. If in doubt, please contact the office.

February 2012
Is it spring or winter? Well I must say it is a nice break from shoveling snow every other day that we had last year. I probable just jinxed it…

TRUST RENEWAL
We are happy to report that we have obtained the needed votes to renew our Trust for another 20 years. The Trustees will be meeting and turning all the votes and paperwork over to the attorney to file the renewal at The Barnstable Registry. Thanks to everyone for making this such an easy process.

CLUBHOUSE
Our new Trustee Marc, has been working on putting up some rails for the beach area and down behind the clubhouse as a response to several suggestions from some owners. We are looking to install some new signage and get our final approval from the Sandwich Conservation Committee on the beach/play area renewals. Summer will be here before you know it.
The Trustees are also talking about some renovations that we are considering making to the Clubhouse, which could involve replacing the downstairs sliders and making a new entrance to the office. Any changes you think need to be made that could improve our clubhouse?

INVOICES & ANNUAL MEETING
It may be winter on the calendar but soon it will be time to send out the Annual Invoices and hold our annual meeting. If you have some items you think we should discuss at the meeting and we invite you to send them to us for discussion during the meeting. Our Annual Meeting has been tentatively scheduled for Thursday, June 14th at the clubhouse.

We hope to use the internet more to keep in contact with our homeowners. Fourth Quarter 2011

The chill is in the air, the leaves are falling and the Trustees spent the morning recently closing down the beach area, putting away the swimming ropes and signs and looking at “future projects” needed. We are happy to report an increased use of the beach area this year and lots of comments on the new area.

 

TRUST RENEWAL

The Lakefield Farms Homeowners Association Trust is up for renewal before March 2012. The information and review process has been proceeding with our attorney. Soon we will be asking all owners to vote to renew the Trust. This matter was discussed during the Annual Meeting and has now become project #1 for the Trustees. We will need a majority of all homeowners to vote for the renewal of the Trust.

 

CLUBHOUSE RENTALS

We are happy to say that like the new beach area, the clubhouse rentals are up this year over previous years as well, due in part to the new renovations and access to the rental calendar and agreement on line. We have a very active fall season underway and the holiday season is booking fast.

We have added a “Rental Calendar” onto our website so homeowners can see available dates and then print out the Rental Agreement available also on line. Couldn’t be easier! No guessing about available dates or numerous calls. Once you have a date and the rental agreement all you need to do to secure the date is call the clubhouse and leave a message about the rental and drop off your completed rental agreement and $65 check in the locking mailbox at the front door of the clubhouse. A rental is not confirmed until the payment and rental agreement are received. We will mark a date as “pending” once we get your call at the clubhouse, but need the check and agreement to confirm the reservation. We operate on a “first-come first-served” policy. We also will not reserve the clubhouse for any date more than one year in advance. (Just a quick reminder, next year’s graduation dates are already booking in May & June.)

 

 

COMMUNITY CHRISTMAS PARTY

            We have reserved Dec. 10th at the clubhouse for a community Christmas Party. Anyone interested in participating in planning or helping with putting this together, please call the clubhouse or send us an email. Hopefully we can get up enough interest to make this an annual event.

WIRELESS ROUTER

We have added a “wireless router” into the clubhouse to accommodate business meetings and classes for our homeowners. One of the homeowners that routinely uses the clubhouse for meetings donated the equipment and installation so there was no cost to the Association. This will allow expanded use of the clubhouse for such events.

 

WATERCRAFT STORAGE AT THE CLUBHOUSE

We implemented a new policy for watercraft storage at the clubhouse and want to thank everyone’s cooperation. A couple of watercraft are being stored in the designated area and we just want to note that the Association accepts no responsibility for the boats over the winter period. You might want to make sure the boats are stored properly and not allowed to pool water that will freeze over the cold months ahead.

Summer/ Third Quarter 2011


Here we go, weather is heating up and the outdoor projects hit us all. Are you ready for a nice cool dip in Lawrence Pond?

“ANNUAL MEETING”
Our Annual Meeting has been set for Thursday June 16th at 7pm in the clubhouse. We have a lot to discuss. Frank Williams’ term as a Trustee is expiring, so we will have an election to fill the three year position. We will also be discussing beach hours, distribute summer beach passes (if no Homeowner Fees are owed), proposals, projects and any owner’s concerns.

BEACH ADDITTION
We are happy to say the beach/play area addition is complete. We have posted some pictures on the Lakefield Farms FaceBook page so check the out and if you haven’t joined the page yet, take this opportunity to do so and post your own information, thoughts and opinions on our community. This addition has added over 1,000 sq ft to fill out the beach area, and turned out nicer than even we hoped with a new stone walkway and plantings.
We will be cleaning up the area around the parking lot & tennis court and do some finish plantings. We are also looking into possibly replacing the bike rack. Once those items are finished we will do a final as-built and go before the Conservation Commission for a final approval.

CLUB HOUSE IMPROVEMENTS
Due to some major accomplishments on collecting past due association dues, we were able to replace the front windows and the front door on the clubhouse. All were in need of replacement due to rotting and use. This project should be finished by the Homeowners Meeting June 16th.

 

WATERCRAFT STORAGE AT THE CLUBHOUSE
Anyone wanting to store a boat and/or canoe on the clubhouse property will need to adhere to the following rules:
• Any homeowners wanting to store a watercraft at the clubhouse will need to register the watercraft with the office before it can be stored on site. Any craft not registered will be removed from the property. It is the homeowners’ responsibility to register their watercraft with the office by July 1, 2011.
• Any watercraft stored at the clubhouse should be placed to the left side of the tennis courts (Facing the tennis courts from the parking lot). No watercraft may be stored on the front side of the tennis courts facing the parking lot, to a tree in the common area or on the right side of the tennis courts facing Lawrence Pond.
• Anyone storing a watercraft on the property understands that Lakefield Farms Homeowners Association accepts no responsibility for their watercraft and is not responsible or liable if the watercraft is stolen and/or damaged.

The leaves are all on the ground and the holidays are right around the corner. Can the snow be far behind? With the renovations and buzz about the clubhouse’s new look, rentals are up and now would be a good time to book your parties/event for the holiday season and the new year.


“COMMUNITY”
The one word that comes up in more conversations about Lakefield Farms than any other, “community”. If you have some ideas for community gatherings, the Trustees would welcome hearing your ideas and proposals.
ASSOCIATION PAST DUE FEES
The Trustees have made this a high priority and have hired an attorney to follow legal avenues to make sure the past due fees are paid. We have made progress on collecting some of the fees and made arrangements with some owners. This is an ongoing item and will try to keep everyone updated
BEACH ADDITTION
We received approval from the Sandwich Conservation Committee and will be taking bids and planning for the expansion of the beach area for next spring, ready for use for next summer. This expansion will add over 1,000 sq ft to the beach area and will make it easier for you to find a spot to enjoy next summer. Something for you to think about with the snow coming.
STOP SIGNS
Any one that looks at our website and Facebook page knows the concerns and complaints we in the community have had with cars racing through the stop signs. Although, this is not an Association responsibility, it is a concern to all of us. It is easy to get complacent and just slow down at the stop signs, never fully coming to a stop. We are asking that everyone take the time to be aware of the traffic laws in the community and keep everyone safe.

Crispness is in the air and here we go headed into the shorter days and cooler nights!

COMMUNITY

The one word that cropped into more conversations during the clubhouse open house than any other: “community”. People asked about doing a Santa Picture Day & Christmas Party at the clubhouse, Community parties, etc. In years past, there was more of a social nature to the neighborhood with Lakefield Farms Men’s & Ladies clubs. Well, if you have some ideas for community gatherings we would welcome you to put together the information and outline to present it to the trustees for consideration.

CLUBHOUSE OPENHOUSE

The clubhouse renovation open house was a nice day to meet and greet neighbors and see all the changes to the clubhouse. If you could not attend, we will be posting some pictures on our Facebook page and will try to update some of the pictures on our web page. The rental cost has not changed. It is still only $65 to rent the clubhouse for an entire day and it is on a first come, first serve basis. We will be decorating the clubhouse for the holidays and actually booked rentals during the open house.

We do have a couple of items left to do on the clubhouse. We are putting rails on the front steps, we still need to paint the old tables inside and we have something special planned for the last remaining old Lakefield Farms carved sign at the building’s interior entrance.

LAKEFIELD FARMS NEWSLETTER - SEPT. 2010

 

     Wow, where did the summer go?  Wasn’t it just yesterday we were putting out the dock and talking about gat guards & lifeguards?  Well welcome to the start of fall, school is back, the beach is quiet and everything seems to slow down a step or two in preparation of the winter to come.

CLUBHOUSE

        The clubhouse is in the final stage of the dramatic renovations that have taken place.  If you want to see some pictures, you can check those out on our Facebook page.  Our Facebook page is Lakefield Farms, Sandwich, Mass.    So if you can’t wait to see it before our Oct. 2nd Open House, you can get a little preview there.   The clubhouse has always been a great asset to all of our homeowners, but now with the Trustees focusing on the homeowner’s request to bring it up to date and out of the 80’s,  we think everyone will be happy with the results.  Just a few notes: we have added a new 42” TV which makes the option of football parties and events a new possibility.  The new oven also makes it a lot easier to cook and keep foods warm.  Small groups can now use the clubhouse for meetings and events.  The possibilities are endless.  

         Rental documents can now be found on our homepage but we still request that calls for information be made to our office.  The rate has not changed, it is still only $65 to rent the clubhouse for an entire day and it is on a first come, first serve basis.  We will be decorating the clubhouse for the holidays.  Christmas Parties and functions are welcome.  Just a note, Thanksgiving is already booked…sorry.  

BEACH ADDITTION

          We appeared before the Sandwich Conservation Committee on Sept. 1 after a requested site visit by the committee at an earlier meeting.  Everything went well and we were represented by Sabatia Inc. of Pocasset.  This is the same company that represented us in the 90’s for our earlier beach projects.

          We have received the committee’s approval which now allows us to move forward with hiring a contractor to expand the beach area and retaining walls next spring, adding over 1,000 sq ft of beach area to our beach.  The permit being issued will have some conditions and will be good for three years.

          There was some debate over four trees close to the water that were originally planned to be removed.  After listening to the owners and discussion on the part of the Trustees with Sabatia, we decided to keep the trees.  These trees will allow for our homeowners to sit in some shade and enjoy the beach with their families.  

VANDALISM

        Never a topic anyone likes to read about, but this summer we had our problems with vandalism at the beach and throughout the community.  Graffiti was found on our beach walls, beer bottles broken on the tennis courts to mailboxes being smashed or run over all throughout the community.  We do hope that everyone is looking out for their property, neighbors and our clubhouse & beach area.  Although, it is not in the authority/jurisdiction of the Trustees to police the neighborhood, we should all help one another and report any acts of vandalism to the Sandwich Police.  Destruction of private & public property is a crime and a nuisance; together we can do something to stop it in our community.

ANNUAL MEETING 2011

       Yes, we said it!   Next year’s annual meeting will have one major focus, the renewal of our Association Trust Documents.  We need a majority of the homeowners to attend so it is never too early to mention it.  We hold our annual meetings on the third Thursday in June, which will be here before you know it.

Clubhouse Renovations 

Let us start this month’s Newsletter on a positive note. The Trustee’s have hired a painting contractor, purchased furniture and have things scheduled for the clubhouse renovations to be completed by the end of August. We have also set aside October 2 for an open house so everyone will have an opportunity to see the renovations first hand.

 

Beach / Play Area Expansion

We are on the agenda to go before the Sandwich Conservation Commission on their first meeting in August to seek approval to expand the beach/play area by approximately 1,150 sq. ft. We will be scheduling the work to be started next spring to spread out the budget a little. We have posted the plan on the office window in the clubhouse.

 

Vandalism & Gate Lock-Up

Ok, since we are on the beach area this seems like a good time to bring up the issue of locking up the parking area. This year we have already lost numerous locks for the tennis courts as well as vandalism on the planter wall. Part of the problem stems from the gate not being locked up when the last people leave the parking lot. The gate needs to be closed and locked to detour the use of the parking area for midnight meetings and access to the area. Everyone’s help to keep this area secure is essential and appreciated.

 

Beach Area Smoking Policy

While Lakefield Farms Trust does not have a smoking policy, with the exception of no smoking in the clubhouse, we have had complaints this year about the smoking in the beach area. The Trustees would like to ask that while using the beach area please be considerate of those that don’t smoke. If you are going to smoke, please do so upwind so the smoke blows away from others on the beach.

 

Magnets

We will be distributing our new Lakefield Farms magnets through the month of August. We have been doing this in the afternoon hours, going door-to-door does take a little longer, but it also allows us to talk to the homeowners on a personal level. So they’re coming.

 

E-Mail Address

One last item, we are still putting together our email list of homeowners for future contact. If you haven’t already, please send a email to us at Lakefieldfarms@comcast.net and make sure you put your name and address in the body of your email. This will help us to notify everyone of news and information without the cost of mailings and postage.

Annual Homeowners Meeting Notes

The Homeowners meeting was held on Thursday, June 17th at 7:00pm. Budget and items completed through the prior year were discussed but three items were discussed in great length. They were:

(1)

Proposal was put on the floor to pay the Trustee handling the rental of the clubhouse $5 per rental to reimburse that individual for time, organization, running around & gas for the extra work needed. The proposal passed with one vote against.

 

(2)

The Trustees informed the homeowners that due to the fact that the beach area had mostly washed away during the recent harsh winters, Lakefield Farms has started the process to seek permits to do a Beach Nourishment that would add approximately 1,150 sq ft of beach area. This would be achieved by extending the existing flower boxes and retaining walls towards the clubhouse, removal of some trees, grading the area and matching the existing sand with more sand. Since the idea does not involve us encroaching into the water area or bordering wetlands we would only have to appear before the Sandwich Conservation Commission and avoid other meetings that were required when the beach area was established and sand added in 1992 and 1998.

To represent us in front of the Conservation Committee we went into our records and rehired Sabatia Inc. to draw up the documents and Canal Land Surveying and Permitting Inc. to do the engineering for the project. Both of these companies represented us in the past on projects.

It was discussed that permits, once obtained, are good for three years so we would be seeking the permitting aspect this year and the work would be performed next spring for us in the 2011 summer season. Our current proposal is to be presented before the Sandwich Conservation Committee in late July. This would also allow us to spread out the cost of the project in two stages and not take a big chunk of our funds out in one year. Total amount paid so far on this project was stated at around $3,000. Total permitting is estimated to cost approximately $5,500 - $6,000. The project was support by the homeowners.

The final item discussed in great length was the maintenance and upkeep of the clubhouse. Discussion covered the issues of new carpeting, drapes & furniture and bringing the feeling and atmosphere of the clubhouse to current standards and “out of the 80’s” A motion was put forth and approved that $6,000 of the current budget be used to start a project to accomplish the idea of revitalizing the clubhouse. Three points the homeowners would like to see immediately implemented are:

a)    Paint the walls a brighter color

b)   Replace some pieces of furniture and remove others

c)    Use remaining funds to either buy new blinds, etc.

Also it was discussed along with the revitalization of the clubhouse that the Trustees should look to establish some value or percentage of monies brought in to be set aside as a constant replenished fund so that furniture and upkeep on the clubhouse could be maintained.

 

 

 

Other items that were brought up for discussion were:

Š      Better use of the internet and emails

Š      Possible get-togethers / functions to celebrate the new beach opening next spring and a open house in the fall to show off the improvements to the clubhouse.

Š      The new signage & flagpole

Š      The installation of air conditioners into the clubhouse.
